Traceability is most useful when the approved sample, specification, artwork and production lot can be related to each other without guesswork.
Use stable identifiers
Give the project, formula, packaging and artwork versions clear identifiers. A flavor name alone may be reused across different compositions or can models. Keep the identifiers visible in the records used for sample approval and production release.
Record changes at the decision point
If a material, supplier, flavor or package is changed, document what changed and who approved it. Identify whether sample evaluation or other review needs to be repeated. A complete email history is less useful than a concise current specification with traceable revisions.
Define the records to receive
Agree which batch and release records will accompany the shipment or remain available on request. Link those requirements to the quotation and quality plan. The practical goal is to identify what was produced and compare it with what was approved.
Put the decision into your project record
Use a short record that names the product or sample version, the decision required, the supporting information and the person responsible for approval. If a point is unresolved, record the next action before moving to the following approval. This makes the discussion more useful than a general request for the “best” formula or package.
For a production quotation, identify each SKU and its quantity. The current minimum is 3,000 cans per SKU and 9,000 cans per order. Sample evaluation is discussed separately and does not create a production order.
